Facility Management: Maintain a professional work environment by supervising the maintenance of office space, including repairs, cleaning services, and workstation assignments.
Vendor & Asset Management: Locate, bargain with, and oversee connections with outside suppliers (AMC, stationery, pantry, security). Keep a precise Asset Register for firm property.
Procurement: Oversee the entire office supply and equipment procurement process, guaranteeing timely delivery and cost effectiveness.
trips and Logistics Coordination: Plan employees' domestic and international trips, including arranging flights, lodging, processing visas, and local transportation.
Front-Desk Oversight: To guarantee that visitors have a good first impression, oversee call routing, visitor management procedures, and reception activities.
Event and Meeting Planning: Arrange venue reservations, food, and technological setup for internal business events, town halls, and high-level board meetings.
Required Skills:
Resourcefulness: The capacity to quickly and economically resolve unforeseen logistical issues.
Negotiation Skills: Demonstrated ability to work with contractors and vendors to obtain the best service at the most affordable cost.
Organizational Mastery: Excellent ability to simultaneously manage several calendars, deadlines, and physical space arrangements.
Communication: Excellent written and verbal communication abilities for working with external partners and employees at all levels.
Software Proficiency: Basic familiarity with administrative or ERP software and proficiency with Microsoft Office (Excel/Outlook).
